Overview

Responsible for overall management of day-to-day billing for specific Practice Groups, and the billers assigned to support those Practice Groups.  Recruit, retain, develop, mentor and train the Billing staff ensuring that all are adequately informed and knowledgeable, and instill a culture of excellent service to the partners and the Milbank community. Ensure Revenue policies and procedures are maintained and continuously observed.  Develop appropriate internal controls to ensure accountability across the team.

Responsibilities

  • Responsible for coordinating employment, performance, and salary recommendations; provide training and development; ensure consistent management across the department.
  • Manage assigned billing staff to ensure they are processing firm bills in accordance with Milbank's billing and collections policies and procedures; work with Lead to monitor workloads of assigned staff, and delegate work appropriately to meet all deadlines; work with billing staff to improve the processing of firm bills while promoting a high level of service to partners, management, clients and staff.
  • Work with leadership team to develop standardized training program to include: best practices for producing bills, firm software (3E, BillBlast, Design Gallery, ARCS, Target Cash, Intapp Open and Iridium) and various soft skills. Maintain high level of proficiency with all billing and collection software.
  • Maintain current knowledge of industry practices with strong focus on Practice Groups supported.
  • Set standards for staff performance and provide timely feedback based on those standards. Identify growth opportunities for staff, and facilitate learning and development.
  • Ensure client / matter setups and maintenance are being monitored and reviewed, and that details of client Outside Counsel Guidelines are communicated to billers timely. Identify opportunities to improve processes focused on tightening up compliance.
  • Work with Leads and other team members to steer resolution of Partner and/or client issues; escalates as needed to Director or other firm management.
  • Work with Lead to provide guidance when needed in preparation for regular meetings and communication with key members of the Practice Group. Assist with developing possible solutions in response to Partner feedback or concerns. 
  • Continually monitor WIP, aged A/R, and unapplied cash; review inventory, including on-account invoices to ensure WIP is relieved in a timely and accurate manner. related to timeliness, completeness and accuracy of client invoicing through consistent review and identification of escalation items.    
  • Enforce compliance with the firm’s accounting, billing and collection policies to ensure integrity of the firm’s financial and operating information.
  • Proactively work with Billing and Collections Committee members during year end collections efforts.
  • Collaborate with the billing/collection team and other finance personnel and work closely with Partners and other legal staff to achieve the firm’s goals.
  • Coordinate ad hoc projects at the request of clients, Partners, and firm management; prepare various reports and analyses, as requested.
  • Provide coverage during absence of other Managers, Leads or team members.
  • Other responsibilities within the billing/collection function as they may be assigned from time-to-time.

Salary Range: $130,000 - $175,000 (DOE)

Qualifications

  • A Bachelor’s degree or equivalent experience required; degree preferably in Accounting or Business.
  • 5+ years’ experience in a large law firm billing department or comparable industry; 1-3 years in a supervisory / management role.
  • Software: Elite (Enterprise or 3E) or Aderant a plus; BillBlast, eBilling Hub and E-Billing vendor sites; Design Gallery, ARCS, Target*Cash, Intapp Open and Intapp Time a plus.
  • Proficiency in MS Outlook, Word, Excel, and Power Point.
  • Ability to manage multiple assignments and successfully prioritize competing deadlines.
  • Functions as a self-starter, takes initiative and assumes responsibility without being asked.
  • Works well independently and with a large team; detail & results oriented.
  • Will require travel periodically to meet with Practice Group partners, LTA’s or department management in other offices.
  • Must have strong written and verbal communications skills as position requires significant interactions with partners, management, clients, and staff.
  • Flexibility with overtime when necessary.
