About the Role

We are looking for a Recruiting and Onboarding Coordinator to join our Human Resources team and support the Firm's recruiting and onboarding activities for business services. This role serves as a key point of contact for candidates, hiring managers, external vendors, and internal stakeholders throughout the hiring process. The Coordinator ensures an exceptional candidate experience, supports efficient recruiting operations, and facilitates a seamless onboarding experience for new hires.

The ideal candidate is highly organized, detail-oriented, customer-service focused, and capable of managing multiple priorities in a fast-paced professional services environment while maintaining confidentiality and professionalism.

Responsibilities

What You'll Do 

  • Manage interview logistics for multiple individuals across different teams, including scheduling, conference room reservations, virtual meeting coordination, and candidate communications. 
  • Liaise with recruitment and staffing agencies to communicate role requirements and manage candidate submissions. 
  • Create and manage job requisitions, approvals, and postings through the applicant tracking system (ATS). 
  • Maintain accurate candidate and requisition data, track pipeline activity, and provide regular updates to Human Resources leadership. 
  • Coordinate communication with external recruiting agencies and search firms. 
  • Prepare offer-related documentation, coordinate background checks, reference checks, conflicts reviews, and other pre-employment requirements. 
  • Maintain recruiting and onboarding records in compliance with firm policies and recordkeeping requirements. 
  • Contribute to initiatives that enhance the candidate experience, employer branding, and process efficiency, and represent the firm at job fairs and networking events. 

Qualifications

What We're Looking For 

  • 2–5 years of professional recruiting or HR coordination experience. 
  • Familiarity with applicant tracking systems (e.g., iCIMS, Workday) and sourcing tools (e.g., LinkedIn Recruiter). 
  • Strong written and verbal communication skills with a high degree of professionalism and attention to detail. 
  • Proven ability to manage multiple priorities simultaneously in a deadline-driven environment. 
  • A collaborative mindset with the ability to build effective relationships across teams and with stakeholders at all levels. 
  • Proven ability to handle confidential and sensitive information with discretion.
